How many wedding guests can you actually afford
Work it out from the budget rather than from the list, and every $1,190 you spend elsewhere costs you ten people.
The short answer
Subtract your fixed costs and a contingency from the budget, then divide what is left by the per-head cost. This produces a number of guests you can afford rather than a list you then try to fund, and it makes the trade-off between spending and inviting explicit.
The formula
available = budget - contingency
guest-driven budget = available - fixed costs
affordable guests = guest-driven budget / per-head cost
guests per unit of fixed cost = 1 / per-head cost
The last line is the useful one. At $119 a head, every $1,190 moved into fixed costs removes exactly ten guests, and stating it that way makes the decision concrete.
Worked example
A $24,000 budget with an 8% contingency, $12,400 of fixed costs and a $119 per-head cost:
contingency = 24,000 x 0.08 = 1,920
available = 22,080
guest-driven = 22,080 - 12,400 = 9,680
affordable guests = 9,680 / 119 = 81.3 → 81
cutting photography by 1,050 buys 1,050 / 119 = 8.8 more guests
Eighty-one guests. Spending $1,050 less on photography invites nine more people, and knowing that turns a vague tension into a straight choice.
What is fixed and what is not
Fixed: venue hire, photography, attire, music, flowers, stationery design, transport for the couple. These cost the same for eighty guests as for a hundred and twenty.
Per head: catering, drinks, cake portions, favours, printed stationery per invitation, and seating hire above whatever the venue includes.
The awkward one is venue hire, which is fixed within a capacity band and jumps between bands. That makes the guest count a stepped decision rather than a smooth one, and the steps are worth knowing before you fall in love with a room.
The list always exceeds the number
Everyone's first list is longer than their budget, which is normal and not a planning failure. The useful move is to build the list in tiers rather than trying to cut a single list down.
Tier one is people whose absence you would regret. Tier two is people you would like there. Tier three is obligation. Fill from the top until the number runs out, and the decision stops being personal.
Expect around 10% to 15% not to attend, more if there is travel involved. Inviting to your affordable number exactly usually leaves you slightly under, which is a comfortable place to be.
Where the smaller wedding actually wins
Not just in the arithmetic. A smaller guest count opens venues that were previously impossible, allows a better per-head spend on the same total, and shortens almost every logistical problem.
The couples who report being happiest with the trade-off are usually the ones who chose fewer people and better food, rather than the reverse. That is a preference rather than a finding, and it is worth naming because the default drift is always toward more people.
What this leaves out
- Per-head costs vary enormously by country, season and day of week. Get two real quotes before trusting any figure, including this one.
- Assumes venue capacity is not the binding constraint. Where it is, the capacity sets the number and the budget follows.
- Excludes children, who usually cost less to cater and can change the seating and entertainment requirement.

- What is the average cost per wedding guest?
- Once catering, drinks, cake, favours and stationery are counted it commonly lands somewhere between $80 and $150 in most markets. Your own figure from two real quotes is worth more than any published average.
- Should we invite more people than we can seat?
- Only within your expected decline rate, and cautiously. A 15% decline is typical for a local wedding and much higher for destination ones, but the year everyone accepts is the year the arithmetic stops working.
- Is a smaller wedding really cheaper?
- Substantially, because roughly 60% of a typical budget scales with headcount. What it does not reduce is the fixed half, so halving the guest list does not halve the cost.
