What this spreadsheet does

Freelance income swings client to client and quarter to quarter, which makes it hard to know how much to actually pay the IRS without either overpaying or risking an underpayment penalty.

What you can do with it

  • Know the safe minimum to pay each quarter without overpaying
  • Track income across multiple clients in one place
  • Avoid an IRS underpayment penalty even with irregular income

What's included

Sheet tabs

  • Instructions
  • Quarterly Summary
  • Client Income Log
  • Safe Harbor Assumptions

Features

  • Client income log with automatic quarter assignment
  • Current-year-method and safe-harbor-method estimates side by side
  • Automatic "pay the smaller amount" suggested payment using the real IRS safe-harbor rule
  • Standard IRS quarterly due dates built in

How it works

  1. 1Log every client payment with its date on the Client Income Log tab
  2. 2Enter last year's tax liability and this year's estimated rate on Safe Harbor Assumptions
  3. 3Pay the Suggested Payment amount each quarter — it's always the smaller, penalty-safe option

Who it's for

Freelancers and 1099 contractors who pay quarterly estimated taxes.

This spreadsheet estimates quarterly payments using the standard IRS safe-harbor rule and does not replace professional tax advice.

Frequently asked questions

What is the safe-harbor rule?

It's the IRS rule that you avoid an underpayment penalty by paying the smaller of either 90% of this year's tax or 100-110% of last year's tax, split evenly across four quarters. This sheet calculates both and shows you the smaller, safe number.

Does this file my taxes for me?

No. It calculates what to pay based on your income log and the safe-harbor rule. You still file and pay through the IRS directly.

What if I didn't file taxes last year?

The safe-harbor method needs last year's tax liability. If you're in your first year freelancing, rely on the current-year-method column instead.

Can I track more than 3 clients?

Yes, add as many rows as you need to the Client Income Log — the quarterly totals update automatically.
